Set up your organization, create your first project, and generate your first WH-347 report.

Steps:

  1. Create your organization and invite team members
  2. Set up your first project with contract details
  3. Add workers with their classifications and wage rates
  4. Enter payroll data for a week
  5. Generate and review your WH-347 report

Managing Projects

Create projects, set wage determinations, track budgets, and manage multi-state work.

Steps:

  1. Navigate to Projects and click 'New Project'
  2. Enter project name, contract number, and location
  3. Assign the correct prevailing wage determination
  4. Set project budget and cost codes
  5. Monitor project status on the dashboard

Worker Management

Add workers, assign classifications, track certifications, and manage multi-trade workers.

Steps:

  1. Go to Workers and click 'Add Worker'
  2. Enter name, SSN (last 4), and primary classification
  3. Set the hourly wage rate and fringe benefit rate
  4. Add certifications (OSHA, CDL, etc.) with expiry dates
  5. Assign workers to projects

Creating WH-347 Reports

Step-by-step guide to generating certified payroll reports that meet DOL requirements.

Steps:

  1. Navigate to Payroll and click 'Create Payroll'
  2. Select the project and week ending date
  3. Add workers and enter daily hours for each day
  4. Review the calculated gross pay, deductions, and net pay
  5. Run the compliance check before certifying
  6. Sign the Statement of Compliance
  7. Generate the PDF — it's ready to submit

Job Costing

Track project costs by CSI MasterFormat division, monitor budgets, and analyze variances.

Steps:

  1. Go to Job Costing from the sidebar
  2. Select a project to view its cost breakdown
  3. Click 'New Entry' to log a cost
  4. Select the cost code (CSI MasterFormat) and enter amount
  5. View budget vs. actual on the project card
  6. Use Cost Codes page to add custom codes for your organization

Compliance Alerts

Understand compliance checks, resolve alerts, and maintain a clean compliance record.

Steps:

  1. Navigate to Compliance from the sidebar
  2. Review any active alerts (red = critical, yellow = warning)
  3. Click an alert to see details and affected workers
  4. Fix the underlying issue (e.g., adjust wage rate)
  5. Click 'Resolve' to mark the alert as handled
  6. A green 'All Clear' badge means you're fully compliant

Daily Reports

Log daily construction activities, weather, equipment, and manpower for each project.

Steps:

  1. Go to Daily Reports and click 'New Report'
  2. Select the project and date
  3. Log weather conditions and temperature
  4. Record workers on site and hours worked
  5. Note equipment used and materials delivered
  6. Add any incidents or delays
  7. Submit the report

Safety & Certifications

Track worker safety certifications, log incidents, and get expiration alerts.

Steps:

  1. Go to Certifications to see all tracked certifications
  2. Click 'New Certification' to add one for a worker
  3. Set the certification type, issue date, and expiry date
  4. Go to Safety to log safety incidents
  5. The system alerts you 30 days before certifications expire

Subcontractor Management

Track subcontractors, their compliance status, and flow-down requirements.

Steps:

  1. Navigate to Subcontractors from the sidebar
  2. Click 'Add Subcontractor' with company details
  3. Set their trade, contract amount, and contact info
  4. Track their certified payroll submission status

  1. Click the 'Ask Lydia' button in the bottom-right corner
  2. Type your question in natural language
  3. Lydia understands Davis-Bacon, WH-347, prevailing wages, and app features
  4. Ask her to walk you through any process step-by-step
  5. She's available on every page and adapts to your current context

Settings & Integrations

Manage your organization, billing, team members, language, and payroll integrations.

Steps:

  1. Go to Settings from the sidebar
  2. Organization tab: Update company name and details
  3. Members tab: Invite team members and set roles
  4. Billing tab: Manage your subscription and view invoices
  5. Language tab: Switch between English and Spanish
  6. Go to Integrations to connect ADP, Gusto, QuickBooks, etc.

RFIs & Submittals

Create and track Requests for Information and project submittals through the review workflow.

Steps:

  1. Navigate to RFIs from the sidebar and click 'New RFI'
  2. Enter the subject, description, and assign to a responsible party
  3. Track RFI status from Open through Answered and Closed
  4. Go to Submittals to upload documents for architect/engineer review
  5. Monitor submittal review status and revision history
  6. Use filters to find RFIs and submittals by project, status, or date

Change Orders

Submit, review, and approve change orders with full cost impact tracking.

Steps:

  1. Go to Change Orders and click 'New Change Order'
  2. Select the project and describe the scope change
  3. Enter the cost impact (addition or deduction) and schedule impact
  4. Route the change order through the approval workflow
  5. Track status from Draft to Approved or Rejected
  6. View the cumulative impact of all change orders on the project budget

Punch Lists

Create punch list items, assign them to responsible parties, and track completion.

Steps:

  1. Navigate to Punch Lists and click 'New Punch List'
  2. Add individual items with descriptions and locations
  3. Assign each item to a subcontractor or team member
  4. Attach photos to document deficiencies
  5. Mark items as complete and track overall progress
  6. Export the punch list as a PDF for distribution

Lien Waivers

Generate, send, and track conditional and unconditional lien waivers for payments.

  2. Click 'New Waiver' and select the waiver type (conditional or unconditional)
  3. Enter the payment amount, through date, and claimant details
  4. Send the waiver to the subcontractor or vendor for signature
  5. Track signature status and download signed copies
  6. View waiver history by project or subcontractor

  1. Navigate to Subcontractors and select a subcontractor
  2. Upload and track their insurance certificates and expiration dates
  3. Verify their business licenses and bonding status
  4. Monitor their certified payroll report submissions
  5. Set up automated reminders for expiring documents
  6. Generate a compliance summary report for the GC or project owner

Email Notifications

Configure which alerts, reminders, and reports are sent to you and your team by email.

Steps:

  1. Go to Settings and select the Notifications tab
  2. Choose which events trigger email notifications (e.g., compliance alerts, report submissions)
  3. Set the notification frequency: real-time, daily digest, or weekly summary
  4. Add additional recipients for critical alerts
  5. Configure project-specific notification preferences
  6. Test notifications to make sure they are delivered correctly

Billing & Subscription

Manage your subscription plan, update payment methods, and view invoices.

Steps:

  1. Go to Settings and select the Billing tab
  2. View your current plan and usage (projects, workers, reports)
  3. Click 'Upgrade' to move to a higher plan or 'Manage Subscription' to make changes
  4. Update your payment method or billing address
  5. Download past invoices for your records
  6. Contact support if you need a custom enterprise plan

Account Settings

Update your profile, change your password, enable two-factor authentication, and manage preferences.

Steps:

  1. Go to Settings and select the Account tab
  2. Update your name, email, and profile photo
  3. Change your password under the Security section
  4. Enable two-factor authentication for added security
  5. Set your preferred language and timezone
  6. Manage connected integrations and API keys
